Is there a required order when opening signatures on a document I created? Should signatories and initialers be added in a certain sequence?
First, the initial approvals (paraphs) must be completed in the document. After all paraphs are done, the signatures are completed.
Paraphs and signatures are sent to the approvers in the order they are added. Therefore, when there are multiple paraphs or signatures, it is appropriate to add them in order from the lowest to the highest authority.
For example, if a document requires three signatures and the signatories are the Department Head, Dean, and Rector, the order of adding the signatories should be:
-
Department Head
-
Dean
-
Rector
In this way, the document will first go to the Department Head for signature, then to the Dean, and finally to the Rector.
