What are the important points to consider in external correspondence?
Users who create External Documents in EBYS and wish to send them via Registered Electronic Mail (KEP) should expect the KEP address of the selected Institution/Legal Entity/Person to be automatically retrieved by the system in the “Destination Definition” tab.
If the system cannot find the KEP address, users must first inform ebys-destek@metu.edu.tr. The relevant contact persons will respond as soon as possible.
Users who receive notification that the KEP address is missing or cannot be found should select the appropriate option from the “Delivery Type” tab—either “Mail, Cargo, Hand Delivery”—and create the document accordingly. After the signing process of such documents is completed, a printed copy must be prepared, placed in an envelope, necessary information written on the envelope, and a Document Registration Number assigned. The document must then be delivered to the Directorate of Document and Archive Management for postal dispatch.
IMPORTANT NOTE: Physical official mail (envelopes, packages, etc.) of our university must be prepared in accordance with the rules specified at https://eam.metu.edu.tr/tr/system/files/posta_gonderim_kurallari.pdf and processed by filling out the Fiziksel Posta Gönderim Formu available in EBYS.
