How to Return Erroneous Documents?

According to the Official Correspondence Rules Directive currently in force at our university, a document can only be returned if the recipient is not the intended addressee (Article 34); for documents that are not prepared according to the procedures, a response letter must be created (Article 37).

When units receive a document that has passed through the necessary approvals and signatures but is found to contain errors, the "İade Et" option will not be displayed in EBYS in accordance with the above rules. Instead, erroneous documents can be addressed by preparing a response letter using the "Cevap Oluştur" feature under the "Kurum İçi Yazı Oluştur" section. This response notifies the sending unit and requests that the sender unit correct the errors and send a new document prepared from the beginning.

Units that do not wish to write a response letter using the "Cevap Oluştur" option as specified by the directive may choose to re-route the erroneous document back to the sending unit using the "Sevk Et" option. Before doing this, the reason for re-routing the document back to the sender can be stated in the "Notlar" field. Erroneous documents returned in this way must be re-prepared by the sending unit and sent again to the intended recipient unit.
